Fare eligibility
Who qualifies for humanitarian airfare?
Eligibility depends on the airline, the traveler’s connection to an organization and the purpose of the journey. Being a nonprofit, volunteering or traveling with a church is a starting point for a conversation, not a guarantee of a special fare.

Which trips should you ask about?
Tell the agency what the travelers will actually do at the destination. A medical team visiting a partner clinic, an NGO employee traveling to a field project and a church team supporting a host ministry can have different requirements. The same organization may also book leisure trips that do not qualify.
Airline products differ. For example, Cathay Pacific’s published humanitarian product describes eligible charitable and humanitarian travel, including relief and refugee-settlement work. That is an example of one carrier’s product, not a promise that its terms apply to your itinerary or that Humana holds that contract.
What information helps an agency check eligibility?
Start with an organization name, a short description of its work and the traveler’s role. Explain the assignment, dates and destination. If the airline needs an organization letter or evidence of status, the agent can tell you what applies to the fare being considered.
Do not assume a U.S. tax designation is the only accepted proof worldwide, or that one letter satisfies every airline. Ask which documents must be supplied before ticketing and which must be available during travel. Use the initial quote form for trip details; send passport scans only through an agreed secure process if they are later needed.

- Traveler’s role: employee, volunteer, missionary or accompanying family
- Purpose, departure cities, destination and dates
- Group size and any separate family itineraries
Is humanitarian airfare always cheaper?
No single fare type wins on every route. Ask for the total price and the conditions beside the available published alternatives. A cheaper ticket with a costly second bag or an unsuitable connection may be less useful for your trip; a public fare can also be the better choice.
Keep four questions together: what is included, what can change, when payment is due and what happens if someone cannot travel. An advertised benefit elsewhere does not establish the conditions on your ticket. Request the actual baggage allowance, change rules and cancellation terms before deciding.
What about families, groups and company volunteers?
Accompanying family members may need their own eligibility check. Tell the agent if people travel on different dates or join after the main traveler. Do the same for a mixed group of staff, volunteers and guests.
A corporate volunteering project should be described accurately. Company affiliation does not automatically qualify or disqualify every traveler; the relevant fare rules determine the options. If a special fare is unavailable, the trip can still be compared using suitable commercial fares.
Get an eligibility check with a usable quote
Send a short trip brief rather than a request for a generic discount. Include your preferred route, approximate dates, flexibility, headcount and baggage. Ask the agency to explain the offered fare and any unresolved eligibility conditions. You can then compare real options for the journey you need to make.
